Heitler Houstoun Architects, an award-winning Manhattan based Architecture and Design Firm, with a diverse portfolio of Residential, Corporate Interior and Retail projects is seeking an Office Manager WITH  3-5 year’s administrative experience to help support our growing firm of 20 Architects and Interior Designers.


Human Resources:

  • Manage employee benefits and hiring administration
  • Process payroll
  • Coordinate employee performance reviews
  • Field confidential questions and concerns of employees
  • Administration of company policies and procedures and employment regulation compliance

General Office &  Project Support:

  • Manage office calendar for events and employee PTO
  • Create, update and manage internal documents – templates, spreadsheets, AIA contracts, proposals, administrative and procedural manuals/ handbooks, etc.
  • Word processing as requested (letters, memos, transmittals, labels, meeting minutes, etc.)


  • Coordinate/manage billing and project reimbursable expenses
  • Manage accounts payable and accounts receivable
  • Light Accounting (balance sheet, P&L, journal entries, general ledge entries)


  • Order and maintain supplies
  • Manage and maintain office facilities (coordinate equipment maintenance and repairs


  • Familiar with the principals of financial bookkeeping software such as Quickbooks, Money, and /or Deltek Ajera (Deltek Ajera is the current software)
  • Microsoft Office Suite (Outlook, Excel, Word)


  • Self-motivated, well organized, able to work with little supervision
  • Excellent written and verbal communication ability
  • Ability to prioritize multiple tasks in a fast-paced deadline driven environment
  • Ability to handle confidential information with tact
  • Flexibility and/or willingness to wear many hats and perform tasks of various shades and varieties


  • 2-5 years previous experience in Office Management, Administrative and/or Executive Support
    Prior experience in the A/E/C industry preferred
